About Ellie
The Position
The Clinic Manager provides supervision, assessment, counseling and care management services that are culturally appropriate and empathetically minded to the clients and employees of Ellie Mental Health Greater Portland. They will work under the supervision of the Executive Clinic Director, while supporting formulation and implementation of client care policies and procedures and participating in the strategic and operational decision-making process. Overall, the Clinic Manager carries a caseload of clients as well as directs, coordinates, and oversees the administration of assigned clinical personnel, associated administrative personnel, and supports the Executive Clinic Director in managing the day to day operations of the clinic.
Responsibilities
- Provide outpatient therapy services to clients and families (minimum of 15 client hours each week).
- Complete clinical documentation such as assessments treatment plans, progress notes, discharge plans, and all other required documents in a timely manner for assigned cases.
- Provide excellent clinical services for clients through the use of creativity and innovative therapy tools to help clients achieve and exceed their goals.
- Coordinate services/referrals and collaborate with others including: medical/med management personnel, case managers, other Ellie staff, school staff, family members and others as needed.
- Provide clinical oversight for and collaborate with a dynamic and passionate team to further the mission of filling the gaps in our community.
- Attend, and participate in all clinical staff meetings, administrative meetings, individual supervision, and trainings.
- Coordinate with Executive Clinic Director to support the hiring process; including screening, interviewing, and onboarding processes.
- Provide individual supervision to assigned employees and any external individuals/agencies that we contract with for such and is/are assigned by the Executive Clinic Director. Co-lead or lead staff meetings/group supervision as assigned. Complete required documentation for all supervision.
- Ensure supervisees and clinic staff are following all agency policies, providing high quality care to our clients and documenting all services in compliance with agency policies and state/federal regulations.
- Monitor client bills and collection of client payments for their own clients and the clients of those they supervise. Review EHR service lines and complete error corrections as needed in working with service providers internally and externally.
- Complete audits of client charts and support organizing peer chart reviews.
- Plan, implement, and evaluate all clinical care services provided at the clinic site as well as all associated administrative operations and activities, including performance reviews and performance improvement plans.
- Monitor clinic capacity and practice patterns to support Executive Clinic Director in identifying hiring needs to meet FTE staffing requirements.
- Participate in the implementation, maintenance, and creation of policies & procedures, objectives, and short-and long-range planning.
- Partner with Executive Clinic Director to support administrative changes as needed.
- Troubleshoot issues within the electronic platforms used by the clinic to support clinic staff. Follow established agency policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards.
- Provide in-service training for employees of Ellie Mental Health Greater Portland as requested by the Executive Clinical Director.
- Contribute to Marketing and Community Outreach, attending events in the community and organizing events for the clinic.
- Contribute to building a positive clinic culture through daily interactions with staff and clients, as well as planning events/outings.
- Cover on-call and other assigned meetings/paperwork when Executive Clinic Director is out of office.
- Abide by all licensing guidelines to maintain an active and unrestricted full license to practice and supervise in the state of Maine.

- Master’s Degree or higher education in one of the behavioral health sciences from an accredited college or university with a minimum of 5-10 years experience as a fully licensed clinician.
- Have a Maine issued clinical license to practice as an LCPC, LCSW, LMFT, or Psychologist.
- Meet the requirements to supervise all conditionally licensed providers (LCPC-c, LMSW-CC, LMFT-c) and clinical interns.
- Strong computer skills including the ability to learn and navigate multiple electronic platforms including the clinics EHR, Microsoft 365 products, and additional platforms used by the clinic.
- Ability to triage clinic staffs' administrative questions and concerns by connecting them to appropriate tools and resources.
- The ability to create a warm, welcoming, fun, collaborative clinic culture where clients and staff feel supported, valued, and can show up as their authentic selves.
- Strong working knowledge of state requirements regulating mental health practice and mental health clinical licensure requirements.
- Strong leadership and problem-solving skill sets.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Working understanding of human resource principles, practices, and procedures.

- Chart auditing for quality of clinical documentation and compliance with internal policies and external regulations.
- Working knowledge of DBT, IFS, EMDR, and/or couples work.
- Specialized training in innovative, creative, and/or holistic therapy and/or supervision approaches.
